Empower Your Work Force

The Data Capture system is a combination of hardware and software that improves the flow and management of dispatching, loading and delivery activities. It all starts with downloading route information (client ID’s, vehicle ID’s, etc.) to the truck computers from an office PC via Radio Frequency. All client and vehicle information is downloaded to each truck, allowing any truck to be dispatched or re-routed to any client. The driver loads the truck and enters the Bill of Lading information. He records the type and amount of fuel loaded and the compartment(s) in which it is stored. This information is used to keep a running inventory of the fuel on the truck.

The driver proceeds to the customer locations and fuels vehicles or tanks, recording each trans-action on the hand-held scanner. The driver scans a vehicle or tank barcode, which is verified by the truck computer and checked against the database to ensure the proper fuel type is selected. If a proper match is not made, the safety valve remains closed and fuel cannot be pumped. After fueling is completed, a certified, detailed, delivery ticket is printed showing the vehicle/tank descriptions along with the type and amount of fuel delivered. The customer receipt also has an option to show pricing, which can be set up during the central site communications between the truck and the office at the beginning of the shift.

When the driver has finished his last stop, he returns to the yard or to a supply point to load his truck. Any inventory transactions are recorded including additional Bills of Lading or transfers of fuel between compartments or trucks. Upon returning to the yard, the inventory and fueling transactions are uploaded to an office PC for reporting and billing. The uploaded data may be used for client billing, driver payroll, accounts payable and fuel reconciliation.

Product Accounting Software

An Access or SQL database with reporting software stores information about your clients, their vehicles or tanks, your drivers and your delivery trucks. The program has an intuitive user interface that makes it easy to enter and maintain the information in the data tables. This program also receives the fueling transactions uploaded from the trucks and provides numerous reports to help manage the fuel delivery process. Daily, weekly and monthly client delivery reports, shift summaries and route productivity reports are included in the base package. The use of industry standard Access and SQL database tables makes it easy to design custom reports in addition to those provided. The database and reporting program incorporates an export facility, NetLink™, that makes the data available to accounting programs and charge card network providers.
